How to Choose the Right Vending Machine for Your Workplace
18 August 2026 · 5 min read
Choosing a vending machine sounds simple — until you realise how many options there are. The right machine for a 20-person office is very different from the right machine for a busy warehouse or gym. Here's how to make the decision with confidence.
Start with your space
Measure the area where the machine will go, including doorways, corridors and lifts on the delivery path. A standard combination machine needs roughly one square metre of floor space plus room to open the door fully for restocking. Also check that a standard power point is within reach — most modern machines simply plug into a regular 240V outlet.
Match the machine to your foot traffic
Think about how many people will pass the machine each day and what they'll want from it:
- Under 30 people: a compact snack and drink combo machine is usually ideal.
- 30–100 people: a full-size combination machine with a wider product range keeps everyone happy.
- 100+ people or multiple shifts: consider separate snack and drink machines, or a machine with a larger capacity so it doesn't run empty between services.
Get the product mix right
The best machine in the world won't get used if it's stocked with products nobody wants. Ask your team what they'd actually buy — a quick informal survey goes a long way. Most workplaces do well with a blend of classic favourites, healthier options and grab-and-go snacks, and the mix can be adjusted over time based on what sells.
Don't overlook payment options
Cashless payment is now an expectation, not a luxury. Make sure any machine you choose accepts tap-and-go cards and mobile wallets. Cashless readers also give operators live sales data, which means faster restocking and fewer empty slots.
Consider a fully managed service
You don't need to buy or stock a machine yourself. With a fully managed vending service, the machine, installation, restocking and maintenance are all handled for you — at no cost to your business. You simply provide the space and power, and your team gets a reliable amenity.
